Personal data processing at Paideia Folkhögskola

 

 

Overview

Paideia Folkhögskola stores personal data concerning those who register an interest in Paideia Folkhögskola’s activities, participate in an education or program, enter into collaborations with us as well as those who make a financial contribution to Paideia Folkhögskola. The personal data is limited to those that are considered necessary to carry out the activity and to communicate about ongoing and future activities. Personal data is not shared with third parties except in the cases specified in this document.

 

For students

In order to enable learning, collaboration and communication as well as manage the obligations a folk high school has such as documenting and reporting to authorities, Paideia folk high school needs to have ongoing access to and process your personal data. This applies before as well as during and partly after your time studying at Paideia folk high school. Paideia Folkhögskola will therefore use some of the personal data you filled in when you applied to the school. The information is taken from your application form and any admission activities. During your study period, we also process the personal data that emerges during your study activities.

Personal data that is collected and what it is used for We need your address, phone number and email to be able to contact you. We register your name, social security number and address to ensure that you are you and to report to the Education Council, the county council and, if necessary, to CSN. This is what a Folkhögskolan is obliged to do in order to receive state funding for organizing education. Paideia Folkhögskola uses G-Suite for contact and management of participant data. Application data is collected through Cognito Forms and then stored locally in Excel files that only authorized personnel have access to. The administration also registers your personal data in the financial program Fortnox, if you are studying a profile course. We share the necessary information with those responsible for admission to our courses. Course teachers get access to relevant information about you, such as your contact details and your previous knowledge. In some cases, we share your contact details with third parties such as PostNord (if you read a profile course and we send you course material), and MailChimp (for communication and mailings regarding courses and events – note that there are two separate mailing lists, one for courses and one for events, so you need to unsubscribe from both if you no longer want any mailings from us at all). Participants with a protected identity are asked to contact the administration before applying, so we can follow routines regarding extra careful handling of personal data. Contact details of former course participants are saved in order to maintain contact and inform about events, courses and opportunities that Paideia folk high school offers. You can unsubscribe from further mailings at any time by emailing us. Sometimes we take pictures of the business for documentation, reporting and for our social channels. There, as a participant, you can sometimes be included in the picture, but can of course say when the picture is taken that you do not want to participate. General course (Allmän kurs)We use your first and last name to create personal accounts in Google, Schoolsoft and in Excel for administration. Google is used for schoolwork, scheduling, logging into Chromebooks, and internal and external communication.Schoolsoft is used for attendance control and school administration. (For example, class and course lists and reports to the Public Education Council, the Special Education Schools Authority, the county councils, and CSN). Authorized administrators of your accounts can reset usernames and passwords and have access to registered information and user statistics. As for content in e-mails and files created in Google, administrators only have access to these by resetting the password and logging in as you. The administrators only do this if they suspect a violation of the school’s IT policy.

Google Classroom is the school’s educational platform and a platform for internal and external information. Through the account that the school creates for you, you get access to a number of apps that Google provides through Chromestore and Google Play. The school has an agreement with Google regarding apps, and the most important of these apps are Gmail, Calendar, Docs, Calculus, Meet, Hangouts, Classroom and Google Drive which are used for school work, school administration (including study plans), planning, collaboration and communication. The school has an agreement with Google which ensures that the processing of your personal data in these apps meets the requirements of the General Data Protection Regulation (GDPR). If we as a school require you to use other apps that process personal data as part of the teaching, then these must meet the requirements for GDPR. In addition to these apps, you are also free to use your account to access other non-mandatory apps from the Chromestore or Google play. If you choose to install or use these apps, you yourself are responsible for the personal data that the app provider processes.If you have stated that you have disabilities, ill health, learning difficulties or other sensitive information that is important to your study situation, we will process this in order to adapt the teaching and give you the support you need. We are careful with authorizations for and security around the processing of this information as it is sensitive. We report anonymized statistics on disabilities to the Special Education School Authority in order to receive financial support for extra staff resources if necessary. As the information is sensitive, we are extra careful with security and who has access to the data. Access to personal dataPaideia folk high school uses authorization functions in Schoolsoft, Cognito Forms and Google to limit access to personal data to authorized personnel based on the purpose of the personal data processing. Personal data assistants In order to ensure that participants and staff have access to secure, reliable and flexible IT services needed to offer a well-functioning education and school administration, Paideia folk högskola has concluded agreements with Schoolsoft, Cognito Forms and Google, which act as personal data assistants for Paideia folk högskola. Some of these companies offer cloud services, which means you access the services through internet logins. The providers of the services have their own servers that are not managed by Paideia Folkhögskola. To ensure that your personal data is processed in accordance with the data protection regulation and according to the purposes stated in this consent, we cooperate with serious actors and have personal data processing agreements that meet the requirements of the data protection regulation.

 

Storage in countries outside the EU and cooperation with subcontractors

Google may store your personal data in data centers located outside the EU and also use its own subcontractors. In the agreement that Paideia Folkhögskola has concluded with Google, Google guarantees that they have agreements that meet the requirements of the EU’s data protection law with the data centers located outside the EU and with its subcontractors.

 

Documentation

Your academic year and eligibility certificates are saved for 50 years. Application information in Cognito Forms is deleted six to twelve months after the start of the course. Your Google account will be deleted no later than six months after completing your studies. Then all your files and rights to assigned documents will disappear. We recommend that you download or transfer files that you want to save to a private account before you finish your studies with us.

 

Rights

According to Article 13-15 of the GDPR (the European Data Protection Regulation), you have the right to request free of charge once a year what information we have registered about you. You also have the right to request the deletion of data or the correction of any incorrect data. You have the right to withdraw your consent. Withdrawal of consent for data processing does not apply to data needed for reporting to authorities, documentation according to the Accounting Act or documentation for student legal disputes regarding admission.

 

Legal basis for the processing of personal data

In the data protection regulation (GDPR) article 6.1 a, it is stated that we have the right to register and process your data if you voluntarily consent to the registration of these.
